Introduction to Read and Understood

The timeline below demonstrates the Read and Understood fully automated process:

  • Document Created or Updated Change picked up a midnight
    Content authors of SharePoint Create/Update a document. The App 'Document Selector' rules control who should receive an Acknowlegement request.
  • Automated Notification Emails
    An Email is sent to all employees required to Acknowledge reading the document.
  • Reminder Emails
    Sent only to employees who have yet to acknowledge reading the document.
  • Optional Overdue Email
    Send an overdue email for those who did not acknowledge within the specified time.
  • Document Summary Email
    The designated summary recipient recieves a email with attached Excel report of who did and did not acknowledge reading the Document.
  • Export Excel Reports
    View our Reports, either through the App or download to an Excel file.

Finer detail of the Process

‘Read and Understood’ is fully automated, with the exception of the editorial process of editing/creating the document. The SharePoint App that, once installed and setup, will:

  1. Send an email Notification to employees when a document is updated or created and becomes a major version in SharePoint

  2. The employee can open the document in SharePoint from the email and acknowledge reading the document, again by clicking a link provided in the same email which opens the Read and Understood App.

  3. Reminder emails can be sent to employees how have not acknowleged.

  4. A summary email is sent to the nominated Summary Report Recipient that details those that did or did not Acknowledge.

 
 

Update or Add New Documents to a Library

Content editors continue to maintain documents in a SharePoint library as they do currently. The Read and Understood rules will decide which document require users to acknowledge. If you want to just let users know a document has updated, then there is a rule for that too.

Daily Processing of New or Updated Documents

A daily task runs to process all documents that have been added or updated in a library. Based on the rules defined a notification (email) will be sent to those participating in the acknowledgement. The user will be instructed to Read and Acknowledge the document with a predefined time, again defined by the rules. A link is provided in the notification email for the user to click and complete the acknowledge reading request.

Reminder Emails

If enabled as a rule, the user can receive one or more reminders at timed intervals, but only if they have not already acknowledged the document.


Overdue Emails

If enabled as a rule, the user can receive a notification to let them know the acknowledgement cycle has completed and the time has expired to complete the acknowledgement.


Owner Summary

The document owner, defined in the rules, will receive a summary email of who did and who did not acknowledge the document version.


Review Reports

The Owner Summary Report in Read and Understood brings together all documents within the site that have been through the acknowledgement lifecycle. An overview of the acknowledgement outcome is visible at a glance, alternatively drill into the report to see details of who did or did not acknowledge documents.
